# Your attendees want their photos. Here's how to give them out, and turn a cost line into a service

> How event organisers can get photos to every attendee with a QR code and selfie search, offer sponsor-paid downloads, and turn photography into revenue.

A playbook for conference, expo, festival and cultural-show organisers: QR codes on lanyards, selfie search, sponsor-paid free downloads, and numbers you can show sponsors.

Look at the budget for almost any event and photography sits on the cost side. You pay a photographer, you get a folder of a few thousand images, your marketing team picks forty for social media, and the rest go nowhere.

Meanwhile the people in those photos want them. The speaker wants the shot of them on stage for their LinkedIn profile. The exhibitor wants their stand with a crowd in front of it. The family at the cultural show wants the photo of their daughter mid-dance. Almost nobody gets theirs, because finding one person in 4,000 photos is too much work.

This is a playbook for fixing that. It works for conferences, trade shows and expos, community festivals, cultural shows, concerts and large functions.

## The idea in one paragraph

All the event photos go into one online gallery with watermarked previews. Attendees open it from a QR code, take a selfie, and see only the photos they're in. Then they download them, either free (you or a sponsor covered the cost) or for a small price paid straight to the photographer or to you. No app, no account to browse, and no one scrolling through 4,000 thumbnails.

## Three ways to run it

**1. A free service, paid for by you or a sponsor.** You keep paying the photographer as before. The gallery is set to free downloads, so every attendee gets their photos at no charge. This is the simplest option, and a good one for conferences where the photos are part of the experience you sell.

**2. A sponsor-branded service.** Same as above, but a sponsor pays for it. Their name or logo goes in the watermark on every preview, and on the poster: "Your photos, courtesy of [Sponsor]." The full-size downloads are clean. The watermark is set for the whole store, not per event, so do this in a store you run for the event or the event series, not in your photographer's everyday store. Thousands of attendees open the gallery, so the sponsor is seen thousands of times by people who are happy at that moment.

**3. A revenue line.** Attendees buy their photos: per photo, all their photos, or the whole event. Two ways to set it up:

- **The photographer sells** under their own store, and you agree in writing a lower fee, a share of sales, or both. The platform doesn't split payments, so it's settled offline, using the photographer's export of approved orders.
- **You sell** under your own store, with your payment details, and pay the photographer a fixed fee as usual. Every sale goes straight to your account.

In every case, there's no commission on sales. The store pays a yearly plan, and that's the only charge.

## Where the QR code goes

Each event gets a link, a short event code and a print-ready QR code. Put it where people wait or look:

- **Badges and lanyards.** A small QR on the back of every badge. It's in every attendee's hand all day.
- **Table tents** at lunch and in the networking area.
- **The closing slide** and the holding slides between sessions.
- **The registration desk and exit**, as a standee.
- **The post-event email**, the one with the highest open rate you'll send.

For community festivals and cultural shows, where families come for one performance, put the QR on the programme and the stage screen, and create one event per show or per day. A parent looking for their daughter's dance only has to search that evening's gallery, and you can price each show separately. For a concert, the closing slide and the exit are the moments that work: people are leaving, phones already out.

Uploads can start during the event. Watermarked previews and face indexing are made automatically, so a gallery can go live on day one of a three-day expo and fill up as you go.

## What attendees see

![The sample gallery on desktop: event name, "Find my photos", and the photos with prices](https://sellphotos.online/blog/images/screens/demo-desktop.png)

The gallery shows your event's name and date, and a **Find my photos** button. A guest agrees to a short notice, takes a selfie, and the gallery narrows to their photos. You can try the [sample gallery](https://sellphotos.online/demo?utm_source=blog&utm_medium=article&utm_campaign=event-organizers-photo-revenue) on your phone right now: 1,240 photos, one selfie, 7 matches.

When they check out, they sign in with Google or a one-time email code, so their downloads stay in one place.

## Numbers you can show sponsors

Each event has its own insights page:

- gallery views and distinct visitors (the store owner and bots excluded),
- orders, and orders per visitor,
- revenue over time,
- the most-bought photos.

For a sponsor-paid gallery, that gives you a simple post-event slide: how many attendees opened a gallery with the sponsor's logo on every photo, and how many downloaded. It's a more concrete deliverable than "logo on the backdrop".

## What to be honest about

**Paid orders need a manual approval.** Buyers pay the store directly and upload a payment screenshot. Someone on your side checks the money arrived and approves; only then do the originals download. That's the trade-off for the platform never holding the money: no commission, no payout schedule, no identity checks. For a big paid event, give one person the job for a week and approve a few times a day. Unpaid orders get reminders and expire after 14 days.

**Free downloads skip the approval.** A free order is ready as soon as it's placed. But every order counts as a checkout on the yearly plan, free ones included. A 3,000-attendee conference with free downloads could use up to 3,000 checkouts, which means the Max plan (10,000 checkouts a year) rather than Pro (2,000). Size the plan by expected orders, not by photos.

**Face search needs a face.** Back-of-the-room wide shots and people in profile won't match. Attendees can always tap "Show all photos" and browse.

**Privacy needs a sentence on your registration form.** Searching is a choice each attendee makes, with a notice first, but with face search on every face in the previews is indexed so it can be matched, including people who never search. Say so. The selfie isn't kept; it becomes a face template compared only with that event's watermarked previews, and results last 24 hours. The store can switch face search off for any event, require a live camera, and delete the event's face data once the gallery closes. Add a line about event photography and the gallery to your registration terms, and check local law (GDPR in the UK and EU, the DPDP Act in India, state biometric laws in the US). This isn't legal advice.

## A checklist for your next event

- [ ] Decide: free, sponsor-paid, or paid.
- [ ] If paid: agree with the photographer who owns the store and how sales are shared, in writing.
- [ ] Choose the plan by expected orders.
- [ ] Create the event: name, date, prices or free downloads, payment details, watermark with your or the sponsor's logo.
- [ ] Set an end date for orders.
- [ ] Put the QR on badges, table tents, slides and the post-event email.
- [ ] Upload during the event, not a week later.
- [ ] Pull the insights for your sponsor report when orders close.

Your attendees will remember the event through its photos. It's worth making sure they actually get them.
